Service Dispatcher Job Description

This person will coordinate and dispatch service techs/vehicles to customers internal and external with the highest efficiency and accommodating to needs of emergency needs. Duties may include telephone and computer to transmit assignments and compiling statistics and monitoring work progress. This person will take ownership of various responsibilities that expand more than the job description as needed to help run the department and company smoother and more efficiently leading to profitability. Follow company policy and guidelines to help create a safe and enjoyable workplace.

Responsibilities:

  • Update dispatch board/Softbase.
  • Dispatch road technicians for breakdowns, quoted jobs, PM's, and other work and follow up to ensure jobs are being completed on a timely manner and work orders turned in also in a timely manner. Take into account technician strength and experience/ability.
  • Advise and provide leads to service writer and reps for quoting.
  • Answer customer calls and resolves issues.
  • Manage/track/schedule road technicians sublets.
  • Assist in the accuracy of service billing.
  • Coordinate and schedule PM's as needed.
  • Manage 3rd party and track customers with fleet management (ex. Dels/HD/FM).
  • Track and monitor PM's using TLNW and Toyota Portal system and make sure PM's are current.
  • Open work orders for quoted work, repairs, order parts, and schedule.
  • Assist in any other service operation needs and back up to other staff members as needed.
  • Review parts on order with parts department and schedule with technicians when in.
  • Update Softbase by adding equipment or updating old equipment.
  • Generate/issue PO numbers to vendors and match to invoices/packing slips. Give to the Service manager to review and process for payment.
  • Manage WIP. Target 30 days or less. Go through WIP and keep updated.
  • Track and manage various reports.
  • Set up FML trucks in Equipment database, put on PM service, and set up under FML.
  • PM Set up-input truck information in the equipment database and set up on PM service.
  • Open quotes and process. Update accordingly.
  • Follow up and ensure jobs are getting done in a timely basis.
  • Follow up with techs and make sure work orders are turned in no more than 3 days out.
  • Call customers for PO's, as needed.
  • Track and monitor various reports for the department.
  • Back up in gather time tickets, posting, and submitting to Clackamas.
  • Assist in the accuracy of service billing.
  • Update Softbase by adding equipment or updating old equipment.
  • Practice 5S process.

Qualifications:

  • High School Diploma
  • 2-year college degree or higher (preferred).
  • Clear background check and drug screen.

Requirements:

  • Ability to navigate various computer databases, MS Word, MS Excel.
  • Detail oriented. 
  • Strong communication skills, written and oral.
  • Good customer service skills.
  • Ability to work independently and self-motivated.
  • This position requires the candidate to sit for long periods of time working in front of the computer. 
  • May require lifting up to 30 pounds on occasion.
  • May entail moving or gathering of parts to assist technicians.
